Housing for tournament travel during the season will be arranged by the Arkansas Jrs. Volleyball program. Parents will guarantee their individual room reservations directly with the hotel. Players are housed with parents at hotels on overnight travel. Many families choose to split travel duties and share travel costs. Families may choose to stay at other facilities. An event reservation form will be provided to each family to indicate need for housing at overnight tournaments.
Hi Everyone and Welcome Back to JO Volleyball!
I wanted to touch base with some of our new parents about the way we handle hotel accommodations in JO’s. Through years of practice, we have found that the easiest and most economical way to handle travel arrangements is for one person, myself, to handle all of the hotel arrangements for the year. This doesn’t mean that we dictate for you to get a hotel room where everyone is staying.
For example, if you have relatives that you want to stay with or if you have hotel discounts to other hotels, but it will be your responsibility to keep up with your team for schedules and/or changes while we are away for a tournament. I always try to keep expenses at a minimum but I will not put families in less than what I consider a 3-star hotel. My top priorities are location, price and continental breakfast’s, and in that order. Over the years, I have quite a list of hotels but if you have any suggestions or recommendations, please feel free to get them to me and I will be happy to check them out for our group. I won’t be making accommodations for all tournaments unless we feel they warrant an overnight stay so for our close tournaments, you can make your own reservations if your family wants to go over and spend the night. I’m speaking of places such as Memphis or Conway.
Starting this Tuesday night and for the next couple of weeks, I will be coming to visit you in practice, or you can email me if you’re comfortable with that, to get your credit card numbers. Hopefully to put your mind at ease, I regard these CC#’s with high security. Joe Williams is the only one who might have access to them just in case he needs to make separate reservations for his 18’s. No one else in the program will have access to them. I do not put them over the internet, only faxes.
. This is how I will handle all tournaments: When I know a team is going away overnight, I will plan on every team member having a room. It will be up to you to cancel your reservation if something happens and you can’t attend. A lot of our moms and girls double up with each other to save on expenses and that’s great, but it will still be your responsibility to cancel one of those rooms.
If you have any questions, please feel free to discuss this with some of our returning parents as well as with Joe or myself. I am open to any suggestions or comments and I definitely want to hear a response from anyone about the hotels that I use, good and especially bad. I will be seeing you at most practices but if any of you need to reach me to talk about anything, call or email me at mmathis@astate.edu or 870-897-4971.
